Iron Springs Board meeting and reception

Lauren Humphrey’s House

I.    Call to Order                        
a.    Attendance: Wendy, Creighton, Lauren, Bo, Steve, Gloria
II.    Minutes                            
a.    Approved after minor revisions 
III.    Financials                            
A.    Change of Bank/New Account
a.    The new account is open
b.    We are ensuring Kristin is enabled to deposit checks
B.    Open invoices
a.    Jeanne Seely alerted Lauren that the fire alarm may cost more
b.    Todd Gatrell submitted his invoice for $675
c.    All dues received while BBVA had its issues have been deposited (exception is members who were also affected by BBVA)
d.    $9,000 still due this year, including half of transfer fee from Cabin #4
e.    Received $1,200 invoice from Merla Gatrell for use of RV for June 3 to October 3, 2021.
i.    This surprised the Board.  Wendy has already reached out to Jim and Todd Gatrell to see what the disconnect is, especially when Jim admits that he had moved out by August.
ii.    The Board is willing to consider allowing the RV to stay on Club property for the time being if there is an offset.
C.    Pre-budget discussion
a.    In advance of a proposed budget to review in December, some expected items will be: Water Tanks; Caretaker Cabin; Sport Court; new camp tools (e.g. tractor extensions); “institutional knowledge” projects (e.g. contact database management, scanning services, etc.); updated directory; club expenditures in order to trigger matching federal funds     
IV.    Update on Water Tanks
a.    Club executed contract with Southwest Tank and Steel for refresh and repaint of Tank #2, scheduled for Spring 2022 at approx. $50,000. (Likely 10% contingency). Tank #2 and Lower Tank were not emptied yet as CorrPro requested water in system for their testing.  Tank #2 will be emptied before Southwest Tank and Steel begin their work.
b.    There are still challenges getting second bid for plumbing work.    Elsea Plumbing is still the only bid we have, though Steve has reached out to Turner Pump and Windmill in Chino Valley.
c.    CorrPro has completed their work, but has not yet submitted its report.    
V.    Committee Reports                    
A.    Building and Grounds
a.    As it relates to brush clearing in the future, we are considering ways to reduce club expenditures on brush disposal, including if burning is less than expensive (currently costs $900 per large dumpster)
b.    Jim led the winterization efforts and no reports of problems.  The roads are in good condition.  A dead tree near turn off to Bair cabin was removed free of charge
c.    Jim has been working for on private contracts with club members during the twenty hours a week he has available and is gainfully employed
d.    The Board will help Jim with recalibrating game cameras to see if they can be used (they were taking too many photos as they were triggered too easily by the wind)                     
B.    Fire Safety                        
a.    Siren update: the polls are expected to be up tomorrow, and the first inspection will hopefully be next week (dependent on the holiday).  The two contractors have worked well together.
b.    Firewise Renewal Plan should be filed this week.
c.    Gloria and Jeanne are considering what education/community events they can offer next year
d.    Central Yavapai Fire and Medical District is willing to come provide fire assessments if requested by cabin owners.  Unclear if this would be free of charge.        
C.    Caretaker Cabin    
a.    Three Options
i.    Manufactured Home  Joe Voorhees IV (he works with Clayton Homes) has been very helpful on this effort.  He has visited camp with necessary technicians who have provided an initial assessment of the scope of work, as well as potential sites
ii.    Renovation  still looking for structural engineer 
iii.    Scrape and Build  still looking for structural engineer, and Steve is working with contractors recommended by members (e.g. Dean Spaeth)
b.    Next Step
i.    The Committee is discussing  the appropriate footprint, given various family sizes that may occupy the structure over the years.            
D.    Store
a.    The Lilleys will not be returning as the Storekeepers.  
b.    Creighton will solicit volunteers from the membership when distributing the October 2021 Minutes
c.    Kristin negotiated a new package has been negotiated with CenturyLink to reduce the monthly bill by $46
